BOC Social weekend 2020 cancelled
On 20th July, following a Zoom BOC committee meeting, Peter Bentley. the Chairman informed members by E-mail of the decision taken at that meeting. The text appears below.
Over the next weeks, committee will consider the options to ensure that members are given the usual opportunities to have their views heard and choices responded to. Further information will be posted when it becomes available, but in the meantime be aware that this is likely to involve full use of the postal the 'postal/Electronic' opportunities already in place and the use of the now-familiar videoconferencing systems! The Club is well-placed to keep in touch with members by means of IT, and will keep in touch! John Oldham
TEXT OF THE MESSAGE SENT THE CHAIRMAN TO MEMBERS CANCELLING THE SOCIAL AGM WEEKEND EVENT.
Dear All
The Committee held a Zoom meeting on the 18th July at which we discussed the situation regarding the social weekend in Portsmouth with regard to the Covoid 19 restrictions likely to be in place at that time. Gill Oldham has been in discussions with the Royal Beach Hotel and they are unable to make a firm decision on what they could offer us until the 31st August, based on the social distancing rules that may or may not be in place at that time. Therefore, we regretfully agreed to cancel the social weekend in 2020, but would discuss with the hotel the possibility of making a revised booking for October 2022. This being the earliest we could revisit Portsmouth since we are already committed to holding the 2021 social weekend at Dunston Hall in Norwich.
We appreciate that we are committed by the constitution to holding some form of AGM in October or November. Therefore, our current plans are to prepare the Annual Report, seek nominations for the committee and send out the usual voting papers in advance, for those wishing to avail themselves of a postal or e-mail vote. The timetable may vary, but this is exactly the same as we have always done in preparation for the AGM. Where we will differ is that we are considering setting up sections on the web forum for those who have any questions that may arise from the annual report. In addition, we are looking at the feasibility of setting up a Zoom tele-conference for those who may wish to interrogate the committee in person or, as is usually the case in the second half of the AGM, raise any subjects about the running of the club they consider are important.
Whatever is decided we hope that you will continue to support the BOC and take an active role in the running of the club and look forward to a full programme of events in 2021.
